====== College of Public Health Storage ====== The College of Public Health has access to multiple services when it comes to storing files. The first thing to consider, before deciding on what service to use, is your use case. The most common use cases are the following: ** Daily File Usage**\\ Select these services if you are frequently adding / moving / editing / deleting files on your computer. These are good options for collaborating with others on a daily basis. * Microsoft OneDrive * Microsoft Teams * Shared Drive ** Archiving / Data Retention**\\ Select these services if you need a place to store files and only periodically need to view or retrieve them. It is similar to other cloud services like Box, Dropbox and Google Drive. You have 1 TB of storage at no charge. **Access** - Easily store, access, and edit your files from all of your devices. You can access these files through a web browser, a mobile app, or directly within your file folders on your computer. If you run into a situation where you have no internet connection (ex. on an airplane, train, at a location with no wifi), your offline edits will automatically sync to your account the next time you connect. In the College of Public Health, think of OneDrive as your personal drive (former P drive for some). Only you have access to the files inside of your OneDrive folder (unless you explicitly share with others). Microsoft Teams is the ultimate messaging app for Temple University — a workspace for real-time collaboration and communication, meetings, file and app sharing. For the purpose of this document, we will focus on the file storage feature. Each Team will have 25 TB of storage at no charge. **Access** - Just like OneDrive, you can easily store, access, and edit your files from all of your devices. You can access these files through the Microsoft Teams app, a web browser, a mobile app, or directly within your file folders on your computer (once you choose to Sync your folders). If you run into a situation where you have no internet connection (ex. on an airplane, train, at a location with no wifi), your offline edits will automatically sync to your account the next time you connect. In the College of Public Health, think of the file storing feature of Microsoft Teams as something similar to the department share drive (S drive). The strength of file storage in Microsoft Teams is collaboration and sharing of files. A Team can be created with up to 5,000 members. There are both public folders that can be accessible to every member of the Team as well as private folders that are only accessible to some members of the Team. All files are synchronized in real time and are backed up in the cloud. The departmental shared drive is a file system that resides on our on premise data center servers. Access to these files requires your computer to be connected to the Temple network (either by being on campus or via VPN). **Temple network access** - Departmental shared drive folders are NOT available while you are not connected to the Temple network. In the College of Public Health, departmental shared drive folders have been the standard means of sharing files. \\ ==== Banner Xtender ==== Is available to members of Temple University upon request. This service is primarily used for archiving scanned documents so that they are searchable. \\ \\ ===== Choosing the proper storage option ===== How to choose \\ \\ ===== Security ===== Since OneDrive and Teams are cloud services, files are automatically backed up and versioned in the Microsoft Cloud. Both OneDrive and Teams can be used to store Confidential, Sensitive, and Public data. While OneDrive is not yet HIPAA compliant (PHI data cannot be stored in OneDrive), Microsoft Teams IS HIPAA compliant. If you leave Temple University, you will lose access to the Temple University license of OneDrive for Business and Microsoft Teams. You may continue to use a consumer version of OneDrive or Teams, but your existing files will not be moved over and the storage capacity limit is different.
